| Minutes of Fairway Villa Condo Association
Meeting called to order by Joe Butorac, President, at 6:00 p.m. Roll Call - Joe Butorac, President, Diane Caruso, Treasurer, Kristie Holland, Secretary, Verna Tilton, Trustee, Sherry Keesee, Trustee, Chassidy Vincent, Trustee, Mary Summers, Manager Absent Russ Cozart (excused for family matter) Budget Allocation $11,720.00/month
Old Business
2549B residents not parking a vehicle in the garage and a trash can is sitting on the patio. Compliance has been sporadic. - Mary Summers and Willa Smith have tried to contact the owners several times by letters or phone calls with no success. A $50.00 will be issued.
Single garage doors - Three garage doors 2535C, 2531C and 2531A still haven’t been replaced. - Letters will be sent to the owners regarding the garage doors. If the owners don’t respond in two weeks then the Association will replace the garage doors and assessments placed on the units.
3994 building drainage - The project is almost complete. The Mayfair Rd side downspout needs to be connected.
Hand rails update - Chris Ferrar bid $464.00 to place vinyl posts and railings for the steps by the garages near the 3960 and 3950 buildings. No other bids were received for the hand rails. The Board approved the bid.
Mail room and store room outlets - The outlets and the circuit breakers need to be checked by an electrician as none of the outlets appear to be working. The circuit breakers for the outlets keep tripping.
Snow Removal Bids - Only two bids were received. Timberwolf submitted a bid for snow removal of $595.00/push, $150.00 for application of ice melt and cost of ice melt as used. This is the same as last year’s bid. Glover Construction bid $650.00/push $200.00 for labor and $10.00 per bag of ice melt. The Board voted unanimously to accept Timberwolf’s bid.
Tree Trimming - Timberwolf is still catching up on the damage caused by the big September storm and will tend to our trees as soon as possible
Financials
3927D status - Response from owner? - There has been no response from the owner regarding the money owed to the Association. The Association was awarded a judgement for collection and Mary Summers will contact the legal departments of the local banks to locate the owner’s accounts.
New Business
Garage inspection report - Mold was discovered in the 2553 garages under the D unit and also 2491 garages. Chris Ferrar is replacing the drywall and insulation at 2553 and will look at the mold in the 2491 garages. 2511A has boxed in the crawl space access located in the garage. No one was home in the other units there to gain access to the other garages. Part of the crawl space access is also located in these garages. It may be necessary to require the owner of 2511A to remove the barrier to the crawl space.
TimeWarner cable is laying across the sidewalk near 3927B - Mary Summers to meet with TimeWarner tomorrow to discuss the problem.
New mat for the mailroom - Another mat is needed by the mail room office door.
Tree overhanging the fence at 2542A and is infringing on the sidewalk. - This is on the list for trimming and will be done when Timberwolf returns to resume trimming of the trees.
2538C requests that the two large bushes located near the end of the sidewalk near the garages be removed as the renter there has fallen twice trying to avoid the bushes.
Two soffits located near 2543D are coming down and need to be repaired.
2535D has moisture coming in a bedroom from the outside wall. Mary Summers to contact the contractor to find the cause of the moisture.
Chris Ferrar would like to be considered for maintaining the pool for the next season.
By-Laws Committee - Verna Tilton distributed copies of the rough draft of the work done on the by-laws by the committee.
Budget - The budget should be completed by the next meeting for 2009. Some possible future projects to be budgeted for were discussed as follows:
Grading for the sidewalks for better drainage of water. Replacing the rail road tie walls with stone walls Improving parking areas for 3950, 3960, and 3994 buildings by extending the guest parking areas. Add handicap parking spots for the pool and mail room access. Determine if and where more parking can be feasible Provide parking stickers to residents Repaving of the road and repair the asphalt near the garage doors
Improvements to the buildings like new siding and replacement of the fascia around the garage doors.
Adjournment
Joe Butorac called for any more new business to be presented. No other new business was presented. He called for a motion to adjourn to meeting. Kristie Holland made a motion to adjourn the meeting and Sherry Keesee seconded the motion. The meeting was adjourned at 7:43 p.m. Next meeting Nov. 18, 2008 6:00 p.m. at 2538A Royal County Down.
